You do not have to book the hotel at the same time as the food/registration fee but we strongly recommend it or booking the hotel asap as there is a cap on the rooms under contract and at the rate we negotiated so we can't guarantee that rate or even a room if you try to book the hotel later. The rates we negotiated are better than their web rates and also our rate is inclusive but their rates you need to add resort fee and tax.

Hotel fee includes:
--4 nights stay at the JW Marriott Clearwater Beach from 4 pm May 31st and checking out 11 am June 4th. You can store your luggage at the hotel while at the conference on June 4th, or you may choose to pay for additional nights through the link. The rate is contracted to include 3 nights before and after the conference. However, there are limited rooms available to these extra nights so book early.

Anyone who does not have a matching hotel booking will not be confirmed as registered. These are the cancellation dates you need to be aware of:
Between Oct. 1st, 2024 and December 31st, 2024 you will receive a refund of 50% of your registration fees and 100% refund on hotel fees. There will also be an administrative fee from the AAG for a cancellation or change to the reservation. This is a flat rate fee of $100 plus 5% of the refunded amount.
Between January 1st, 2025 and February 28th, 2025, you will receive 25% refund on your registration fees and 50% on hotel fees. There will also be an administrative fee from the AAG for a cancellation or change to the reservation. This is a flat rate fee of $100 plus 5% of the refunded amount.
After March 1st, 2025, there will be no refund to registration or hotel fees.

You can add on accompanying persons for someone who is not attending the conference but is sharing a room with the participant.

-Please note the maximum number of people per room is four if you were to get 2 queens and only the participant and up to three additional guests who are not participating in the conference can share a room. You will need to request 2 queen beds when we follow up with everyone on room preference. Room type preferences are not guaranteed but the hotel will do their best to accommodate.
Note: Based on group rate availability, room rate valid three (3) day Pre/Post conference dates. Hotel will offer a max of 5 rooms on Wednesday (28th May) & Thursday (29th May), and 10 rooms on Friday, May 30th Preconference, and up to 25 rooms Wednesday, June 4th, up to 15 rooms Thursday, June 5th and up to 10 rooms Friday, June 6th. Therefore, we encourage you to book these early through our link to guarantee your room at this rate.

The AAG has established a fixed fee for all participants at this Conference. This fixed fee has been established in order to encourage overall Conference attendance. The conference registration fee and the hotel fee will be charged regardless of the length of time a participant attends the Conference.
The fixed registration fee covers registration, meals as specified, and opportunities for collaboration. The fixed hotel fee covers accommodations as specified. It will not provide for recreation, faxes, taxi, parking, laundry, incidentals, or any other personal expenses.
All activities, including meal and recreation times, are intended to promote and facilitate scientific discussion and exchange of information.
